1. Parties and Service
Provider sets up an AI phone receptionist that answers calls to the Client's business line once the Client forwards calls to a number Provider assigns. For each real caller, the assistant collects name, phone number, email, location, service needed, project details, and urgency; saves the lead to a Google Sheet; and emails an alert to the alert email the Client provides below. The Basic plan collects leads only and does not give prices or book appointments. The Add On plan also checks availability and books appointments on the Client's Google Calendar.
2. Plans and Fees
Client pays a one-time setup fee and a flat monthly fee for the plan selected below.
| Plan | One-time setup | Monthly | Included minutes |
|---|---|---|---|
| Basic (lead & info collection) | $300 | $150 | 300 |
| Add On (lead collection + appointment scheduling) | $300 | $225 | 500 |
Optional text alerts, once available, are an extra $20 per month. The setup fee is due before work begins. Provider will not make the assistant live until this agreement is signed and the setup fee is paid. The first monthly fee is due on the day the assistant goes live. After that, monthly fees are billed in advance on the same date each month through the payment link or invoice Provider sends.
3. Minutes, Overage, and Spam Calls
The Basic plan includes 300 call minutes per month, and the Add On plan includes 500 call minutes per month. Calls the assistant identifies as spam, robocalls, or sales pitches do not count toward the included minutes. Unused minutes do not roll over.
Minutes beyond the included amount cost $0.25 each and are billed the following month. Provider will notify Client when usage reaches about 80% of the included minutes (240 on Basic, 400 on Add On) so there are no surprises.
4. Term and Cancellation
This is a month-to-month service with no long-term contract. Client may cancel at any time by text or email. Cancellation takes effect at the end of the current billing period, and no further monthly fees are charged after that.
The setup fee is non-refundable once setup work begins. Provider may suspend service if a payment fails and is not fixed within 7 days of notice.
5. AI Assistant, Call Recording, and Call Forwarding
Callers are answered by an AI assistant that tells them it is an AI and that the call may be recorded. Client agrees to this and is responsible for any other notices its own callers must receive under the laws that apply to Client's business.
Client sets up call forwarding with its phone carrier, for example by dialing *72 followed by the number Provider assigns. Client can turn forwarding off at any time, for example by dialing *73. Carrier charges for forwarded calls, if any, are Client's responsibility. While all-calls forwarding is on, Client's own phone will not ring for incoming calls.
6. Lead Data and Alerts
The lead data belongs to Client. Lead details and call records are stored with the services Provider uses to run the assistant, including Vapi and Google, and are used only to deliver this service.
On request, Provider will give Client a copy of the lead sheet or transfer it. After cancellation, Provider will delete Client's lead data on request, except where the law requires it to be kept.
Alerts are sent by email, usually within a few minutes of a call. Text alerts are an optional add-on and may be delayed or missed by carriers.
7. Client Responsibilities
Client agrees to:
- Give Provider accurate business details, including services, hours, and the email address for alerts.
- Keep call forwarding turned on and tell Provider if the business phone number or carrier changes.
- Review leads and follow up with callers promptly.
- Share the Google Calendar with Provider, with permission to make changes to events, if the Add On plan is used.
- Keep a valid payment method on file.
- Tell Provider quickly if calls are being missed or recorded incorrectly.
8. Limitations and No Guarantees
The assistant can mishear or miss details, and the service relies on third-party providers (phone, AI, Google, and email services) that Provider does not control. Provider does not guarantee uninterrupted or error-free service, or any number of leads, appointments, or sales.
The service is not for emergencies. Callers who describe an emergency are told to hang up and call 911.
Provider's total liability under this agreement is limited to the fees Client paid in the most recent month. This agreement is governed by the laws of the State of Nebraska.
9. Acceptance and Signatures
Client accepts these terms by signing below, by replying "I agree" to the email that contains them, or by paying the setup invoice. Typing a name in the signature field on this page is a valid electronic signature with the same effect as a handwritten one. Provider: Open Line Media Group LLC, Ian Koch, Member, CEO.
